Compliance Guidance


We have put together a compliance guide to assist with ensuring all candidates are complaint and meet all the requirements for working with Walton Out Care. For full clearance of a candidate to work will be required to comply with the following checks:  

Application process:

  • All candidates must complete an application form with all personal information completed, safeguarding declarations, confirmation of CV history and referee details completed.
  • Verification of ID and Right to Work Checks:


We are required to review and retain copies passports and any visa’s that gives the candidate right to work in the United Kingdom as well as proof of National Insurance and 2x proof of address, dated within the last 3 months – Any candidates that present a Biometric Residence Permit or an EU ID card, must ensure that the front and back are copied. 


Once we have copied this, we will complete a Right to Work check with the Home Office which provides us with a confirmation of the candidates right to work status. A response is usually returned within days. 


For UK Citizens that are not passport holders, Birth/Adoption Certificates can be used for proof of right to work with the full certificate which holds at least one parents name on the certificate (long version). Proof of National Insurance will also be required as a combination document for proof of right to work. A form of photographic evidence will also be required which may include the driving licence card. 


Any candidates that have limited leave to remain visas are required to have annual checks on their right to work. Walton Out Care will ensure that this is completed yearly from the date the document was originally sighted and proof the checks have been done. 


Any candidates that have documentation with the Home Office may be able to work with a Employers Checking Service. Walton Out Care will need the candidates Case ID reference and other personal information to complete the check.  


Checks usually take a week to respond and you will either be given a positive or negative verification of right to work status. If a positive response is returned, Walton Out Care will make note if the expiry date of the document as this will be your statutory excuse of right to work for the candidate up until that date. 


If a candidate has declared proof of name change, you are required to obtain proof of each name change.


Employment History and Reference Checks


It is a requirement to ensure the candidates CV is to cover from school leaving age, in month year format with gaps in employment / education (if any) to be accounted for.  


For candidate wanting to work with Walton Out Care, we will have obtained references that cover the last 3 years (from application date) must have the most recent reference obtained. All references will verified. 


Referencing unemployment gaps: Please obtain proof of job seekers allowance (if in receipt) or a character reference. Character referees are acceptable in the following case: 

  • Have known the candidate for at least 3 years (and state this on the reference) 
  • Must be in a professional capacity (which needs to be stated and not state ‘friend’)
  • Must detail candidates competency and character 


Criminal Record Checks 


All candidates wanting to work with Walton Out Care Services are required to have an Enhanced Disclosure and Barring Service Check (DBS). All DBS checks must be on the Update Service and you must ensure the certificate is enhanced for Adults and Children with the workforce, also check the candidate information detailed is correct.


Candidates who are using the Update Service will have a monthly web checks completed to ensure there are no changes to the current certificate and that the registration has not lapsed. Evidence will be kept on record. 


Any candidates that have been overseas for more than 3 months in another country must obtain an overseas police check from that country. This is applicable within the last 5 years from date of application.

Timesheet


All temporary workers are required to complete a weekly timesheet, stating the start and finish times and breaks for each day’s work. Walton Out Care Services timesheets are online and can be accessed here.


Please note: the timesheet deadline is a strict deadline and late or incorrect timesheets will result in delayed payment. In addition, if you do not submit your timesheet each week and instead provide us with multiple weeks of timesheets in a single week, you should expect to pay more in National Insurance contributions than usual. It is not possible for Walton Out Care to prevent or rectify this for you.


Early Timesheet Deadlines


Before Bank Holidays and Christmas and occasionally at other times we have to make our timesheet deadline earlier in order to meet payroll deadlines. We will email you about these early deadlines so please make sure we are kept up to date with your current email address.
